hi everybody I'm making a quick video to help you understand how to see the student contact information you want to see a little quicker especially if you're trying to focus on a particular class of yours we all should know that our student tab is one way for us to get to individual student contact information but it's pretty cumbersome unless you have the right filter to look at it all in one place because you need to click on individual students and then go and choose their contacts etcetera and it's a lot of clicking and then you have to do that for every student that you might want on there the way to apply filter I'm going to talk you through that process in a moment but it might be simpler I'm going to show you how to do it through the Gradebook tab instead of the student tab because I know some teachers might want to do this for a particular class that they're focused on so if you're looking at so your second. Class how do you just see your second. Students and see the contact information you need to the fastest way to do that is to go to your Facebook app and when you're here it typically loads your class list first and then what you can do is choose a particular class so many to choose my first. Class Andover on the right Sun Prairie on the left side I have the option to see the roster for that class these are the default fields that automatically load that the district voted for me in terms of what be about my roster for. One but I don't want this information I want contact information now I have already made a filter or fields that my apologies reading wrong language field set for contact information the field set icon is this Grid in the hovering blue bar so when I click it you'll see the default Fields is what's currently showing what I want to see is a field set already made all the contact information filled set when I click that it applies and now I can see my students names their email addresses and I can see who they're contacting relationships are and what language they might need and phone numbers Etc now if you don't have a field set setup like I do wear all that information that I want for contacting my stew their parents is all in one place you can see her I pulled a lot of information over you can make your own field set so I want to remind you about how you can do that you can do that here in the Facebook town and then you can apply to individual any class. That you have or you can make a field set in the student have to do the same thing the process is the same first you want to click the field set icon and shoes to manage field sets now again if you don't have one already made you're going to make a new one and so you want to give this a name first imma call my contacts with demo and over here are all the available Fields And there are lots of them the one we're currently with are all the fields for students so I would want to pull over the students last name first name and possibly that students email address but after that I really want parents and guardian information and so the way I'm going to do that isn't going to change what set of fields I'm looking at there's a drop down here and I click it I can change it to emergency contact one and now I have all these different other fields that I can pull over so I can bring over what's the relationship of that first emergency contact mother or father Weber I can ask for that person's name I can ask or language this is not in alphabetical order but I can put it in alphabetical order so I can click that alphabetize button up here so here we have language advance and you'll see as it's populating over here telling me this is all for emergency contact one who's who what relationship is that person with the name of that person was the language that person needs for communication and then I can pull other stuff that I want to so if I want to see not sure honestly which email to pick so I'm going to pick a couple and after I look at it I can always edit it later I'll see what those are like number obviously I would probably want on one add okay so when I go see what this looks like and then if I want to I can come back and get change it and I can also add emergency contact to all the same field but right now I'm going to stains what I currently have and I want you to stay again don't forget Aspen loves you to click on things and save as one of those clothes for you to click on when you're doing stuff like that so quick say it again and now let's take a look at what I've built some and go to that field set it hasn't applied it already I have to pick it and here is contact list demo send all my Pickin here's what comes up so now I have the students name students email first Contact is the students mother at mother's name the language and first Contact email does give me that parents female which is what I wanted to know I wasn't sure which email works let's see what else happens here alright that email 3 did nothing so I can get rid of that and of course I have that phone go to edit this to get that first Contact email free out some to go back to field fence manage field fence and this time I'm going to edit what I've already done so I want to click the list I was working on choose edit that list I'm going to remove this one it wasn't useful so merry click remove and then I'm going to add a second contact so it's second emergency contact same idea relationship and add isn't it to add that person's name I'm going to add that person's language so I'm going back to my alphabetizer here so I can find it faster language and I want the alt email add and I want the phone my location phone I want there we go now let's say I build this and I don't like the order of stuff I'd rather have the phone number sooner I can highlight that and move it up about email for example I can rearrange this list by just clicking on what I want to move and using the Opera down once I'm done editing saying say it again and again I need to apply this field set since I already had it applied it's actually just showing me the updated updated changes I've made to that field set this year we can see last name first name email of students zoom out here you can see all I want space without me having a sperm a little and now I've got the first contacts relationship name language phone number email and the same for the second so second contact relationship name language etcetera and this is already go now it don't have to do anything else if I go to a different class. I will be able to apply exact same filter so I'm going to go to my second. choose roster set default fields that I don't want that I want my contact list and I just have to pick it now and there it is if I go back to my student tab Whitfield says that show up here are different which is one of the many reasons Aspen is pretty annoying but I can do the exact same process here if I just want to work off of my master list of students instead of bite. I can go a manage field sets create a field set Etc and it once I saved it will show up in my list of possible Fields set to select so I hope that helps you if you have any further questions songs about navigating Aspen I'll do my best to answer them shoot me an e-mail at s s s s s s t a c h m a n at cps.edu and I'll be happy to help thanks everybody
